JOB DESCRIPTION – Import and Export Coordinator

Position Summary:

The ideal candidate will manage and coordinate our clients’ import/export documentation, third-party purchases, and contract administration. The successful candidate will play a critical role in ensuring efficient cross-border transactions and accurate financial and operational reporting within the export and import process.

Key Duties and Responsibilities:

The candidate must be able to –

Coordinate logistics and arrangements for export shipments from Durban and import deliveries.

Process and manage third-party purchase orders on the system for exports.

Ensure timely collection and completion of all import and export documentation.

Compile and maintain accurate position reports, including contract, inventory, and forex status reports.

Finalise and manage all buyer contracts and related shipping documentation.

Reconcile contracts and verify stock balances related to imports and exports.

Follow up and confirm payments according to the contract per shipment.

Check and process all cost payments on exports and imports.

Maintain records and ensure traceability of all transactions on spreadsheets and systems.

Communicate with shipping agents to coordinate deliveries and paperwork.

Submit SAGIS declarations accurately and on time.

Manage office expenses for the Western Cape branch.

Provide accurate information for import and export product cash flow forecasts.

Assist with financial reporting for ABSA and Rabo financing.

Requirements:

Diploma: International Trading / Logistics or Economics/ Accounting.

Experience in the agricultural or commodities trading industry

Minimum of 3 years’ experience in logistics, exports/imports, or contract administration

Strong knowledge of international shipping procedures and documentation

Previous exposure to forex and financial reconciliations

Familiarity with SAGIS reporting

Understanding of trade finance (e.g., working with ABSA/Rabo)


Skills Required:

Excellent organisational skills and attention to detail

Strong Excel and spreadsheet skills

Good communication skills (written and verbal)

Ability to work independently and under pressure

Fluent in English (Afrikaans an advantage)
